How to Compress a PDF for Email

Your email says the attachment is too large, or the upload form rejects the file. Most email services cap attachments at roughly 20 to 25 MB, and some application portals accept far less.

Quick answer

Use "Structure Only" for text PDFs and "Rasterize & Recompress" for scanned or photo-heavy PDFs, then compare the size and download.

Step by step

  1. Open Compress PDF.
  2. Choose a mode. "Structure Only" keeps text selectable and is lossless. "Rasterize & Recompress" gives the biggest savings for scans.
  3. Drop your PDF into the page. In Rasterize mode you can adjust the scale and quality sliders first.
  4. Check the size comparison the tool shows, then click "Download compressed PDF".

Tips

  • Text PDFs (Word exports, invoices) are usually small already. The real weight is in scans and photos, so try Rasterize for those.
  • Remove pages you do not need first with Split PDF.
  • Compress once and compare. Compressing the same file again and again mostly lowers image quality without saving much more.
  • Still too large? Send the document as two smaller PDFs.

Good to know

Rasterizing turns each page into an image, so text can no longer be selected or searched afterwards. Keep your original file. Your PDF is compressed on your device and is not uploaded.
