Your Mac can open a PDF in Preview, but getting it small enough for an email or a portal is another matter. Here is a way that needs no app and no account.

Quick answer

Drag the PDF into Compress PDF in Safari or Chrome, choose a mode, compare the sizes, and download.

Step by step

  1. Open Safari or Chrome and go to Compress PDF.
  2. Drag the PDF from Finder onto the drop area, or click the area and choose the file.
  3. Pick "Structure Only" to keep text selectable, or "Rasterize & Recompress" and adjust the scale and quality sliders for the biggest reduction.
  4. Check the size comparison and click the download button.
  5. The file lands in your Downloads folder. Open it with Preview to check it, then attach it.

Tips

  • To see the exact size, select the file in Finder and press Command-I.
  • Preview also has a Reduce File Size option when you export. With editpdf.tools you can see the size change before you download, and choose lossless structure optimization when quality matters more.
  • Compress once from the original, not again and again from compressed copies.

Good to know

The compression runs in your browser, so the PDF is not sent to a server.

Try it now: Compress PDF. Free, no signup, and your files stay in your browser.
